Job Description

This position supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening community through youth development, healthy living and social responsibility. The Director of Facility and Grounds at the N. Middlesex YMCA intentionally fosters a cause-centered culture that is welcoming, genuine, hopeful, nurturing, and determined while also overseeing the maintenance and improvement of YMCA facilities and vehicles.


  • Bachelor's degree in facility management or related field preferred. Equivalent certifications and experience will be considered.
  • Eight years of experience in building operation.
  • YMCA Team Leader certification preferred.
  • Knowledge of HVAC, steam boiler, fire safety codes and regulations, electrical and mechanical systems, and experience supervising a multiple shift building staff.
  • Hands-on knowledge of electrical and mechanical systems required.
  • Excellent verbal and written communication skills.
  • Must be available to respond to emergency calls during off-hours, including evenings and weekends.
  • Solid computer skills with knowledge of MS Word and Excel.
  • Must be able to effectively manage self and others in a fast-paced environment.
  • Experience in resident operations.
  • Skills in supervision, budget management and project management.
  • “POOL” and boiler certifications required within 120 days of employment.
  • Ability and current license to drive with a record that meets YMCA standards.
  • Ability to respond to safety and emergency situations.

Essential Functions

1. Provides documentation and coordination of facility and vehicle maintenance, including planning and developing preventative maintenance and ensures that assigned vehicles and other equipment are maintained and operated in accordance with the policies and procedures of the YMCA.

2. Uses facility software to coordinate, plan and document all preventative, ongoing and scheduled maintenance and replacement of facility assets.

3. Anticipates risk, implications, and possible outcomes before taking action.

4. Completes repair work, preventative maintenance tasks, and capital projects in a timely manner.

5. Oversees all contractors and vendors that work in the facility and grounds. Requests and review bids, and recommend selection of contractors. Provides oversight of all required documentation and safety protocols.

6. Will work closely with architects, engineers, general contractors, and various construction trades to coordinate a well-defined schedule.

7. Manages all contract and vendor work. Ensures work is completed on time, meets expectations and is least disruptive to operations.

8. Recruits, hires, trains, develops, schedules and directs assigned staff and volunteers. Regularly reviews and evaluates performance.

9. Develops strategies to motivate staff and achieve goals.Appropriately models leadership skills in all interactions.

10. Oversee the development of an annual plan of capital projects, consistent with the YMCA’s strategic plan and community needs and maintains a five-year facility forecast.

11. Establishes priorities systematically. Assists staff in adjusting priorities and/or eliminate tasks based on conditions or needs, such as customer, organizational, departmental, and personal. Generates solutions to work situations in order to manage competing priorities.

12. Performs basic to complex maintenance duties to ensure the building’s equipment and property are in good operating condition, including conducting minor electrical and plumbing repairs, equipment repairs and maintenance (including pool and HVAC), carpentry, and painting.

13. Works with outside agencies such as fire, health, building depts., etc. to ensure compliance with all local, state and federal regulations related to facilities and grounds.

14. Prepares budgets and interprets balance sheets, income statements, cash flow statements, and forecasts to support the preventative and annual maintenance plans and monitor expenditures.

15. Identifies and mitigates significant business, financial, and operating risks and advises management on maintenance issues and projects as requested.

16. Consistently updates facility plans, policy and procedure. Develops a 3-5 year capital plan, identifies annually the most urgent capital needs and cost associated with the annual plan of capital projects. Capital plans are consistent with the YMCA’s strategic plan and community needs.

17. Acts as a liaison betweenareaof responsibility and other YMCA areas and programs in order to determine needs, define projects and priorities.

18. Provides support and expertise to outdoor center when necessary.

19. Ensures that all mechanical infrastructure systems, electric, ventilation, HVAC and pool operation are well maintained.

20. Ensures facility is safe for staff and members. Ensures that facility is compliant with insurance requirements. Provides consistent documentation as required.

21. Actively participates in training sessions and designated meetings.

22. Develops relationship with experts and identifies resources that serve to advance facility needs and objectives.

23. Assists with special projects, fulfills leadership duties as required, and performs additional tasks as assigned.
