Healthy Living & Youth Sports Director

Job Description

Under the direction of the COO and in accordance with established Association policies, procedures, and goals, the Healthy Living & Youth Sports Director is responsible for the management and supervision of the Healthy Living programs and equipment as well as the development, managing, and supervision of Youth Sports programs.

Qualifications

A bachelor’s degree in a related field and a minimum of three years of experience in the health and fitness arena and/or two years of experience in Youth Sports/Youth Recreation/Sports Recreation. Current national certification in personal training, CPR, First Aid, and AED is required. Must have the ability to work with and support youth, adults, and families in their development. Management skills in staff/volunteer recruitment, training, supervision, and program planning and promotion knowledge are preferred. This position requires one to be enthusiastic and able to work a flexible schedule as needed.  The ability to handle multiple responsibilities and meet deadlines is necessary. Computer literacy with the ability to create and edit flyers to Y marketing standards is necessary - must be able to use email, properly draft letters and other written correspondence.  Must be able to relate effectively to diverse groups of people from all social and economic segments of the community.  Have a genuine interest in people and the ability to establish harmonious relationships with staff, volunteers, members, parents, and children. 

Management skills in staff/volunteer recruitment, training, supervision, and knowledge of program planning and promotion are required.  Must be personable and have good written and verbal communication skills.  Must demonstrate professional conduct and be team player-oriented.  The position requires an understanding of and commitment to the mission and principles of the YMCA, including the core values of caring, honesty, respect, and responsibility.

Essential Functions

This position requires one to be physically fit and capable of teaching and demonstrating group exercise, fitness, and sports activities. This position also requires one to be energetic, enthusiastic, and able to work a flexible schedule as needed.  Ability to handle multiple responsibilities and meet deadlines is necessary.  Must be able to work with and support health seekers in achieving healthier lifestyles. Must also be able to support youth and families and encourage positive youth development. 

KEY AREAS OF RESPONSIBILITY 

Program Planning, Development & Management

  • Monitor and ensure a safe, clean, and welcoming environment to help members achieve their wellness goals.
  • Ensure that program offerings meet the YMCA's goals and objectives and engage a diverse group of members and participants.
  • Deliver quality programs: Member Orientations, Body Composition and Movement Testing and Exercise Programs, Teen Fit, Adult Sports and recreation, Personal Training, Youth Sports League, Youth Sports Skills Clinics, and Rock Climbing.
  • Plan, budget, and implement new programs
  • Evaluate program effectiveness regularly.
  • Be visible and accessible to members and respond immediately to member/participant concerns.
  • Implement program strategies to increase membership & registration and retain existing members/participants.
  • Complete timely and accurate payroll preparation for all departments.
  • Expand youth sports programs within the community in accordance with strategic and operating plans.
  • Support Sports Coordinator in organizing and scheduling program registrations. May review and process program scholarship applications.
  • Compile program statistics. Monitor and evaluate the effectiveness of and participation in programs.
  • Plan and implement evidence-based programming (LIVESTRONG at the Y, DPP, Blood Pressure, etc.)
  • Partner with other program directors to manage shared spaces 

Member Engagement

  • Foster a climate of caring and support.  Welcome and connect with members to ensure a high-quality member experience.
  • Ensure a culture of committed relationships and engagement is developed, resulting in increased participation by members, program participants, community participants and volunteers.
  • Be visible and accessible to members and participants at all times and respond immediately to concerns.
  • Collaborate in membership experience strategies that support new and existing member recruitment and retention.
  • With the assistance of the Youth Sports Coordinator, organize and conduct parent orientation meetings and training meetings for coaches.
  • Manage program area schedules to ensure availability for “Open Play” (non-program) times. 

Staff /Volunteer Development

  • Recruit, orient, train, and supervise staff and volunteers for all program areas under your responsibility according to Y policies.
  • Supervise and support program coordinators, such as the Active Older Adults Coordinator, Wellness Coordinator, and Youth Sports Coordinator. 
  • Maintain up-to-date personnel files, including required certifications for current staff and volunteers.
  • Ensure all staff and volunteer positions have written job descriptions and proper training and orientation.  Complete all paperwork necessary for recruitment and hiring of staff and volunteers.
  • Ensure all staff and volunteers complete a background check and mandatory child abuse/safety training upon being hired. 
  • Ensure staff and volunteers renew training annually. 
  • Review and evaluate staff performance annually. Counsel and mentor staff and volunteers as needed for growth and development.
  • Ensure all staff and volunteers are dressed properly and easily identified while on duty. Also, ensure staff and volunteers follow through on assignments as required.
  • Schedule appropriate safety training, ensure all staff and volunteers participate in it, and keep up-to-date on required training.
  • Assure all staff and volunteers have completed the necessary training before working with youth.
  • Assure all staff and volunteers maintain current First Aid, CPR, AED certifications, etc.
  • Consistently address poor performance with proper documentation and coaching, and recognize volunteers for their time, being sure to recognize excellent performance. 

Safety and Risk Management

  • Ensure program areas and all equipment are well maintained and in clean, safe working condition at all times.
  • Assure scheduled and preventive maintenance and repairs are done in a timely manner.
  • Ensure all staff maintain current required certifications and safety training.
  • Train staff to respond quickly in emergencies, including if safety is compromised.
  • Train staff on proper documentation of incident reports and submit them within 24 hours.
  • Keep documented inventory of all equipment and supplies.
  • Immediately address and document needed equipment repairs or necessary replacements.
  • Monitor and ensure procedures are followed for member safety; review and update as needed. 

Fiscal Management

  • Participate in planning the annual departmental budgets; manage and implement approved budgets; review monthly department financial reports to assess goals and address variances in projected, targeted, and budgeted goals.
  • Complete timely and accurate payroll preparation for direct reports.
  • Submit a written request and receive authorization for purchase before ordering.
  • Assist with annual fundraising efforts.
  • Adhere to budgetary guidelines for the department. Closely monitor income and expenses. Explain discrepancies and fluctuations in the budget as needed. 

Marketing and Communications

  • Develop, promote, and evaluate marketing materials for wellness & youth sport program offerings and services according to YMCA national branding guidelines.
  • Market and promote classes and programs aggressively.  Keep brochures current, accurate, and available.  Monitor program content on the Website for accuracy and request updates as needed.
  • Utilize social media and e-blasts in a timely manner to bring awareness to programs and services and maximize communications with members.
  • Develop and maintain collaborative relationships with community organizations. 
  • Assists in the marketing and distribution of program information. 

Other

  • Be identifiable to members, participants, and guests: Dress professionally, wear staff attire, and wear a name tag.
  • Participate in staff meetings and other Y-related events as requested.
  • Respond to all emails and calls within 24 hours.
  • Be professional in interactions with other staff and volunteers.
Required Certifications

National certification in personal training, CPR, First Aid, and AED is required.
