Job Description

Under the direction and guidance of the Branch Associate Executive Director, the Family, Sports & Camp Director is directly responsible for the planning, organization, administration, promotion, supervision, program development, staffing and evaluation of designated in-house and outreach Camp and Family Programs in addition to Birthday Party Booking and maintaining of the schedule. This position provides supervision and leadership to the Hockomock Area YMCA Camp Elmwood and Jr Elmwood, as well as North Attleboro YMCA Family and Sports Programming. This person will create a positive, safe, supportive environment for participants and staff and work in a committed and respectful manner of the mission and philosophy of the YMCA while providing support and resources to the Association as a whole.

Qualifications

  • Possess a Bachelors degree from an accredited college or university.
  • Commitment to work within the approved policies, procedures and practices of the Hockomock Area YMCA
  • Possess strong human relation skills with the ability to work with persons of all ages, with a strong emphasis on youth, teen and family populations.
  • Ability to maintain a consistent positive attitude and personality that lends itself to the interpretation and communication of the YMCA goals, philosophy and mission to YMCA members, program participants and the community.
  • Current CPR and First Aid certifications.
  • Strong verbal and written communication skills.
  • High level of interpersonal and problem-solving skills, enthusiasm, commitment, dependability, creativity and initiative
  • Demonstrates leadership, patience, resourcefulness, good judgment, proven work ethic and maturity in everyday life.
  • Ability to effectively recruit, train, supervise, motivate and evaluate quality paid and volunteer staff
  • Willingness to make time commitments necessary for the accomplishment of quality programs and services, and to assume responsibilities other than listed based on the needs of the Association.

Essential Functions

Administration: Follows all approved guidelines, polices, procedures and practices set by the YMCA Board, Committees and Staff. Attends all scheduled staff meetings (individual and full staff), gives support to YMCA special functions and events through attendance and assistance (Ex: Reach Out for Youth, Annual Meeting, Family Nights, Staff Retreat. Works with supervisor in the design and implementation of pre-set, mutually agreed upon, goals. Maintains accurate, up-to-date program files, summaries and program statistics that can be used for reference, budgeting and future planning purposes. Participates in the YMCA Career Development Program (CDP) and maintains a current membership to the local YMCA Professional Network (YPN) chapter 4.

Personnel: Recruits, trains, schedules, supervises, motivates and evaluates all, part-time, paid and volunteer staff for all program and service areas of responsibility. Follows the approved guidelines and process of the current YMCA Personnel Policy and established departmental program standards and expectations. Writes position descriptions and specific work agreements for all paid and volunteer staff positions with signed copies kept on file. Conducts comprehensive staff orientation and training sessions including within the mission and philosophy of the YMCA. Evaluates staff according to the approved YMCA process. Completes payroll in cooperation with Human Resources Department.

Budget: Responsible for the preparation, administration, monitoring and abidance of all assigned and responsible departmental program / service budget areas. Follows all approved budget timelines and guidelines. Prepares an effective plan of action to facilitate the response of budget problems and concerns. Clears all purchases and expenditures with supervisor in advance. Approves and submits biweekly payroll, and requests for payments, to supervisor according to the approved timeline and procedures. Responsible for agreed upon budget variances in responsible areas. Conducts departmental fund-raisers, as wanted / needed, with advance approval of supervisor.

Program: Provides a minimum of fifteen (20) hours of direct program / service facilitation per week, on average, based on departmental and YMCA needs. Integrates the YMCA “Character Counts” initiative into all programs and services.

Family:

  • With assistance from Program Directors creates, develops and implements monthly family programming, coordinating with all other YMCA departments.
  • Creates monthly calendar to make members aware of all family happenings.
  • Incorporate family into other branch departments
  • With help from program directors in plans, staffs, markets and coordinates all major family events such as Spooky Games, Winter Wonderland, National Family Week, etc.
  • Develops short- and long-term goals for family programming in Branch.
  • Directly involved in enhancing Family Membership Experience, and retention through relationship building and programming

Camp:

  • Design staff training to include outside resources and hands on experience
  • Recruit, hire, train, schedule and assign part time staff and volunteers.
  • Complete end of season performance appraisals of all direct reports.
  • Communicate schedule changes and information to camp administrator.
  • Plan, set-up and direct Camp Open House.
  • On site facility preparation of camp site prior to Camp Open House in cooperation with Facilities Director.
  • Responsible for development and supervision of opening/closing and award ceremonies.
  • Increase camper retention through creative, safe and sound programming.
  • Responsible for daily maintenance and upkeep of camp grounds.
  • Conduct all camp staff meetings to effectively problem solve and encourage staff input and opinions.
  • Responsible for all group’s daily schedules.
  • Assure safety equipment is updated regularly.
  • Print and update camp and group list daily

Sports:

  • Directs and supervises program activities to meet department and branch objectives.
  • Develops new and innovative programs that promote retention and continued involvement with the Y.
  • Assists in marketing and promotion of programs, including organizing clinics and open house events to drive participation.
  • Hires, trains and supervises staff, including all seasonal and part time staff as well as referees.
  • Purchases and monitors necessary sporting equipment.
  • Prepares and manages annual department budgets.
  • Compiles program statistics. Monitors and evaluates effectiveness of and participation in programs.
  • Responds to all member inquiries and issues with urgency.
  • Youth Sports: schedules and promotes classes and clinics, hires appropriate staff to teach and assist with classes, both on-site and off-site.
  • Youth Leagues: coordinates all aspects including program promotion and registration, recruiting volunteer coaches, distributing coach’s guides for skill development and league play, ordering and distributing t-shirts, scheduling team pictures, and recruitment and recognition of team sponsors.
  • Adult Leagues: coordinates all aspects including program promotion and registration, securing facilities to play, recruiting teams, scheduling and managing referees, maintaining league standings, and planning recognition of league winners.
  • Conducts any additional duties that will enhance the sports experience for participants while also influencing growth and quality of the program.

Additional Responsibilities:

  • Leads assigned aspects of fundraising
  • Conducts timely evaluations of all assigned departmental programs
  • Delegates program / services staffing and supervision responsibilities, as needed, upon advance recommendation and approval of supervisor
  • Represents the Hockomock Area YMCA, and serves as a resource to community schools, groups and organizations.
  • Implements an annual staff training schedule and master program schedule
  • Assumes program responsibilities (as required / needed / personal choice) in other YMCA departments with the advance approval of supervisor: in consideration of primary departmental schedule, responsibilities and priorities that best serve the Association as a whole.
  • Attends all staff meetings, supervisory meetings and other outside of scheduled meetings.
  • Play a leadership roll in the Hockomock Area YMCA Reach Out for Youth and Families campaign by recruiting volunteers, making a personal donation, making asks, supporting volunteers and following the campaign timeline.

Promotion: Responsible for the internal (YMCA) and external (community) promotion of all assigned programs and services. Works in conjunction with the YMCA Marketing team to effectively market the full range of program / service responsibilities. Area includes brochures, flyers, newsletters, posters, displays, handouts, front desk files and information, handbooks, news releases, paid ads and bulletin boards.

Building and Grounds: Responsible for the proper maintenance, storage, organization, security, inventory, cleanliness and care of all assigned and used supplies, equipment, facilities (indoor and outdoor) and office space in program areas of responsibility. Assists in the overall appearance and cleanliness of the Association.
