POSITION SUMMARY:

This position supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening community through youth development,healthy living and social responsibility.The Camp Registrar is responsible for delivering high quality customer service to ensure that each child is registered properly, through computer data input, verbal communication, and handling of money transactions for YMCA Camp Miller overnight and day camp operations.We act with intentionality to connect people to our cause through our service and engagement principles. WORK ENVIRONMENT & PHYSICAL DEMANDS:

  • Must be capable of carrying loads of up to 50 pounds and able to traverse hilly and uneven terrain without undue exertion.
  • Perform essential program support to camp activities and programs which may include, but not limited to the following activities: semi – reaching to full-reach overhead, crouching, kneeling, shoveling, working in narrow and/or confining spaces underground, overhead, and at ground level, twisting of the waist, shoulders, and legs, and lying on stomach and/or back.
  • Ability to perform tasks outdoor in different climates

EXPECTED HOURS OF WORK

  • Must be flexible and adaptable.
  • Weekly schedule may include one weekend day and some evening hours.

TRAVEL

Travel will be necessary to other office locations for the Duluth Area YMCA and local non-YMCA meetings and events. Generally, travel will be required once per month.

Qualifications

QUALIFICATIONS:

Requirements:

  1. Bachelor’s Degree preferred or 4 years of equivalent experience.
  2. Must possess an understanding of computer systems including Microsoft Suite, accounting procedures, and good business practices.
  3. This position requires the ability to communicate effectively with a variety of customers as well as the ability to manage multiple tasks and deadlines with minimal supervision.
  4. Experience in record/bookkeeping, data management, customer service and & general office functions a plus (knowledge of childcare and camp bookkeeping and vouchers).
  5. Skills in working with families, conflict resolution, and public relations.
  6. CPR and First Aid Certification, YMCA can provide training.
  7. Familiarity with a summer camp setting preferred.

ADDITIONAL ELIGIBILITY QUALIFICATIONS

Must be able to pass a background check.

Essential Functions

ESSENTIAL FUNCTIONS:

  1. Performs program registrations/enrollments, tracking and reporting of program participants, handling incoming calls and in general, providing a high level of customer service interfacing with YMCA Camp Miller families and the general public.
  2. Oversees registration process including entering paperwork, collecting payments and membership dues, and parent follow-up
  3. Processes the camping financial assistance applications in the required time and with the utmost professionalism and sensitivity.
  4. Answers phones, checks and returns messages, checks and respond to emails, and assists walk-in customers in a timely manner.
  5. Creates, updates, and maintains all computerized and paper records pertaining to camp.
  6. Collects data for community benefits report.
  7. Manages billing, payment plans, and refunds and collections.
  8. Helps coordinate mailings for new camp inquiries, returning campers, new campers, confirmations, camp paperwork (i.e. family handbooks, health history forms), newsletters, and email blasts.
  9. Works with camp referral agencies.
  10. Monitors enrollment numbers and communicate session needs to Executive Director
  11. Ensures weekly, monthly, and annual statistics are tracked and delivered to Executive Director with timely reports.
  12. Maintains the cleanliness and organization of the camping office.
  13. Assists with development of camp paperwork (i.e. registration forms, family handbooks).
  14. Assists with camp fairs, home visits and other promotional events.
  15. Helps with camp set-up, retreats, close-down and other projects as needed.
  16. Trains staff, including seasonal staff, who are responsible for with camper registration.
  17. Orders supplies as needed.
  18. As a member of the YMCA staff team, attends & participates in staff meetings and trainings.
