Camp Description

Camp Pinewood is located near Muskegon Michigan, at the southern tip of the Manistee National Forest and is situated on 200 acres of Pine and Oak forest. The camp property includes 80% of the Lake Echo shoreline. The lake is spring fed and there is no public access. The camp serves approximately 1,000 youth and family campers each summer from the Chicago area, Northern Indiana, Southwest Michigan and from 6 other countries. The camp’s Outdoor Education program serves 5,000 students from Michigan schools.

Job Description

What you'll do:

Prepare, implement, manage and meet annual operating budget: coordinate, prepare and submit the budget according to the budget timeline. Responsible to manage and meet all budget goals. Assure compliance to expense budget. Approval for all purchases; maximize fiscal management to maintain budget goals and to assure camp meets annual budget. Monitor monthly financials, provide business manager with explanation of any financial variances for monthly forecast.

Market & booking group service program: coordinate, prepare and implement marketing plan for group service department to ensure the highest possible level of group retention and new group bookings. Maintain and coordinate the camp’s booking calendar. Book groups and send contracts and group information to group leader. Also supervise marketing programs for Camp Pinewood.

Hire, train, supervise and evaluate program staff and year round staff: adhere to YMCA, ACA, FLSA, State and County standards in hiring practices. Hire and supervise 7-10 seasonal program staff and FT year round Program Staff, Camp Maintenance Manager. Develop and implement training schedules for staff. Implement staff evaluations, both seasonal and FT.

Develop and implement new and improved programming: direct the day-to-day structure and operation of the group service program. Coordinate and develop new and improved OEE and nature classes for school groups.

Customer service: maintain positive relationships with all customer bases from the point of contact including promoting camp, conducting tours, closing all sales, organization & scheduling, and program delivery. Return all customer emails and phone calls within same day or less. Maintain open communication with all customers to provide proactive quality customer service.

Positive team player: Lead and assist program director team with care of camp facilities including, picking up litter, care of camp equipment, supervise opening/closing program areas each season, helping in the kitchen or maintenance areas when needed. Assist with other duties as assigned by the GVP of the Camp Group.

Safety and risk management: articulate safety concerns, emergency procedures, risk management issues and general camp policies to other professional staff, summer staff, and day campers. Ensure the safety of staff and campers and enforce on-site policies.

Participate in association and center events including: annual campaign, united way campaign, department head meetings, and various trainings. Board meetings, annual campaign, donor gifts, capital projects, weekly meetings and Metro reports for Camp Pinewood. Current lifeguard, high ropes instructor and first aid and CPR certifications required. Can acquire required certifications in first 12 months of job.

Qualifications

Candidate must have a bachelor’s degree (degree in Education, Recreation, Environmental Studies, Science, or a related field preferred but not required). Must have at least five years’ experience working in a youth camp setting, along with prior administrative camp experience. This job requires strong skills and previous experience in program design, adventure-based programming and staff supervision.

  • Bachelor's degree with a minimum of 5 years experience in management and supervision with highly developed organizational skills and proven success in program development and staff development of full time, professional staff.
  • At least 5 years of resident camp experience preferred
  • Budgetary responsibility of $1 million or greater.
  • A proven track record of budgetary responsibility and sound fiscal management skills.
  • Proven ability to have initiative, good judgment and ability to make decisions independently.
  • Strong public relations skills with excellent written and oral presentation skills.
  • Ability to develop and/or strengthen community relationships and partnerships.
  • Successful experience interacting with Board and financial development/fundraising activities.
  • Ability to work in a matrixed structure requiring a spirit of collaboration and flexibility.
  • YMCA Multi-Team Leader Leadership Certification, or ability to work towards achieving certification within 12 months of hire.
  • Strong working knowledge of Microsoft Office and ability to learn organization-specific applications

PHYSICAL REQUIREMENTS:

  • Ability to work in excess of a 40-hour week with irregular work hours.
  • Ability to walk, stand, and sit (including on the floor) for long periods of time.
  • Exposure to communicable diseases and bodily fluids.
  • Must be able to lift and/or assist children up to 50 pounds in weight.
  • Ability to stand or sit while maintaining alertness for several hours at a time.
  • Position may require bending, leaning, kneeling, and walking.
  • Ability to speak concisely and effectively communicate.
  • Visual and auditory ability to respond to critical situations and physical ability to act swiftly in an emergency

Essential Functions

Staff Development

  • Lead and motivate staff through a strategic vision inspired by CEO.
  • Develop and monitor specific, measurable, attainable goals with all staff:
    • Develop strategic goals and objectives along with budget preparation timeline.
    • Monitor goals monthly and adjust accordingly.
  • Evaluate staff achievement and provide learning opportunities to strengthen areas for improvement.
  • Work with direct reports to create individual development plans and ensure they are doing the same for their staff.
  • Understand and consistently administer the Camp and Association policies and procedures.

Volunteer and Financial Development

  • Provide strategic leadership to the Board of Managers and Financial Development Director that result in successful annual fundraising campaigns and/or capital campaign.
  • Assist direct reports in successful volunteer committee development.
  • Provide strategic leadership and direction to Board Development activities including: Recruitment, Orientation and Training of all Board Members, Strategic Planning, Board Meetings & Retreats, Board Development Committee meetings, and Executive Committee.
  • Accept leadership roles in areas where necessary.

Program Development

  • Assist directors in creating a seamless delivery of programs to all people connected to the assigned service area.
  • Develop and implement plans to leverage and grow programming on 200 acre camp.
  • Provide leadership to a Y community as a member of a designated Program Leadership Team (PLT), as assigned.
  • Provide support, communication and operational effectiveness to implement association strategies and initiatives.
  • Increase program retention by collaborating with Program and Marketing teams in effective implementation of planned programs, services and campaigns.
  • Develop and foster collaborations/partnerships to expand programs in new service areas.

Fiscal Management

  • Exemplify strong fiscal stewardship through the development and monitoring of annual budgets in assigned areas:
    • Monthly monitoring through variance reports and follow-up.
    • Quarterly updates with forecasting year-end finish.
  • Identify new revenue streams through program development, innovation and grant opportunities.
  • Prepare the annual income and expense budget with ultimate approval by Board of Directors.
  • Operate within, administer and achieve the approved annual budget.
