Job Description:

Job Duties include, but are not limited to:

  • Under the direction of the Vice President - Business Services, the Controller is responsible for all accounting operations including day-to-day accounting functions, supervision of payroll processing, the production of periodic financial reports, maintenance of an adequate system of accounting records, and a comprehensive set of controls and budgets designed to mitigate risk, enhance the accuracy of the Association's reported financial results, and ensure that reported results comply with generally accepted accounting principles.
  • Serves as the chief hands-on accounting executive of the Association and demonstrates a willingness to dig deep as to statistical analysis and other reporting necessary to provide accurate, timely, meaningful, and transparent portrayal of the Association's fiscal health currently and looking ahead, with appropriate reference to history.
  • Directs the daily operations of the accounting and payroll processing functions, and the Business Services personnel, providing active supervision, training, and counsel as required.
  • Assigns, monitors, and reviews the progress and accuracy of assigned work.
  • Establishes and implements short and long-range departmental goals, objectives, policies, and operating procedures.
  • The preparation and maintenance of a fiscal policies and procedures manual is an expected outcome of work in this area.
  • Designs, establishes, and maintains an organizational structure and staffing to effectively accomplish the department's goals and objectives.
  • Maintains sound record keeping and accounting procedures following generally accepted accounting principles and the full accrual method of accounting.
  • Reviews and recommends improvements to internal controls where warranted/desirable, as well as, reviews and recommends improvements to best practices, including those from YMCA of the USA.
  • Supervises the preparation of monthly Association financial statements with supporting schedules and the preparation of illustrations to be utilized by staff, volunteers, financial institutions, etc.
  • Monitors and analyzes monthly operating results against budget and provides operational staff with interim reporting needed to remain informed and accountable for ongoing performance.
  • Prepares and analyzes a running forecast and updates forecast throughout the year.
  • Oversees internal audit and account analysis of accounting, bank statements, and payroll records monthly, performing necessary adjustments to maintain accuracy of financial records.
  • Retains official financial records of the Association to meet legal and Association requirements.
  • Prepares required governmental and other internal/external reports and ensures compliance with local, state, and federal reporting requirements, including YMCA of the USA annual report, IRS Form 990, IRS Form 5500, Dane County fiscal filings, etc.

Special Certifications or Requirements:

  • Bachelor's degree in Accounting and a minimum of three years experience as an Accounting Manager or Controller required.
  • Experience in payroll processing required.
  • Preference will be given to candidates with public accounting experience and the Certified Public Accountant designation.
  • Preference will be given to candidates with not-for-profit accounting experience.
  • Preference will be given to candidates with experience in grants administration and compliance.
  • Knowledge of finance, accounting, budgeting, and cost control principles including generally accepted accounting principles.
  • Knowledge of financial and accounting reporting systems.
  • Knowledge of federal and state financial regulations.
  • Ability to analyze financial data and prepare financial reports, statements and projections.
  • Working knowledge of short and long term budgeting and forecasting.
  • Work requires professional written and verbal communication and interpersonal skills.
  • Ability to motivate teams to produce quality materials within tight timeframes and simultaneously manage several projects.
  • Ability to participate in and facilitate group meetings. In all cases, must have the ability to foster effective communication within the department and outside through proper channels.
  • Requires the ability to effectively communicate in a positive and professional manner with YMCA staff, volunteers, members, and the community, maintaining confidentiality when necessary.
  • Work occasionally requires the ability to travel to and from various locations.
  • Work is primarily completed in an office setting and may include the frequent use of a computer and other office machinery, such as a calculator, copy machine etc
  • May occasionally require the ability to lift, carry, and load equipment, furnishings and supplies weighing up to 45 lbs.

Salary: $74,130 - $92,663
