Job Description and Required Certifications: General Functions: Under the supervision of the Executive Director, the Executive Assistant will perform administrative functions and serve as assistant to the Executive Director. General functions include process of all accounts payable and receivable, serve as branch human resource representative, maintain accurate recordkeeping, manage aspects of marketing and communications and perform general office management duties. This position is a critical part of the camp management team. Entry Requirements: Must have high school diploma, or GED, basics knowledge of accounting practices preffered. College degree preferred. Must be a self starter, require minimum supervision and be able to work well under pressure. Must be personable, detail oriented with the ability to plan, prioritize and follow through on assigned tasks. Must possess excellent oral and written communication skills. Must type 45 wpm, ability to use a 10-key calculator and be computer literate, including knowledge of Social Media such as Facebook and Twitter. CPR/First Aid/AED certification required. Essential Functions of the Job: • Incorporate and Model our YMCA Christian principles into your work • Commit to establishing long-term relationships with staff, volunteers, participants, members and families • Ability to exercise discretion and diplomacy, make judgments independently and follow directions with both guests, campers, parents and staff • Ability to mentally and physically deal with high stress situations and perform multiple tasks concurrently • Have ability to sit at computer terminal or stand for extended periods of time • Be able to lift 40 pounds • Visual and auditory ability to respond to critical incidents and the physical ability to act swiftly in an emergency situation Job Segments: • Provide customer service support for all programs, including answering phone/transferring calls, delivering messages for staff. • Manage Office Coordinator with general office tasks. • Function along with Office Coordinator as Camp Registrar. • Perform all general office administration/management responsibilities as described • Process daily accounts payable and receivable to include, but not limited to, income/expense recordkeeping, cash deposits, related association paperwork, petty cash accounting, check requests, expense reports, payroll and collections for NSF. • Lead/Assist with Alumni Development including planning on site and off site events. • Responsible for attending Branch Board meetings, and taking minutes • Serve as branch Human Resource representative. Attend cabinet meetings; provide compliance education to branch supervisors and staff, review employee hire packets, employee changes and payroll submissions. • Serve as branch Staff Development resource. Report development opportunities and mandatory training information to supervisors and staff. • Responsible for digital marketing and communications including, but not limited to, on-line surveys, email newsletters, web site/social media monitoring and Emma software management. • Manage the on-line and on-site camp store. To include ordering, displaying, pricing, payment processing, shipping and maintaining inventory. • Hire and train, supervise and evaluate Office Coordinator. • Provide administrative support for the annual Community Support Campaign and other fundraising events/efforts including Reflecting Camp’s Glow Dinner and Y Links Golf Tournament. • Serve in an active role in American Camp Association accreditation process. • Manage/retain summer camp and group rental records. • Attend training as required, travel as needed. • Some weekend work, specifically Sunday afternoons during summer camp season. • Perform other duties as assigned.
